Who this policy covers

KargFlow is a multi-tenant freight-management service used by independent companies. The company that provides you with freight or warehouse services generally decides why your operational information is entered into KargFlow. KargFlow processes that information to provide and secure the service.

Information we process

• Account information, including names, business contact details, roles, authentication records, and tenant membership.
• Customer and shipment information, including contact details, package references, descriptions, quantities, measurements, routes, documents, invoices, and delivery milestones.
• Service and security information, including audit activity, access logs, device and browser information, and error diagnostics.
• WhatsApp connection information supplied by Meta, including business account IDs, phone-number IDs, display numbers, verified names, connection and quality status, and message delivery identifiers.
• Encrypted authorization credentials needed to send approved WhatsApp notifications on behalf of a connected business.

KargFlow does not receive your Meta password. Meta handles authentication and phone-number verification directly.

How we use information

We use information to operate tenant accounts; manage freight, warehouse, billing, and document workflows; send requested customer communications; provide support; prevent misuse; maintain audit records; and improve reliability.

WhatsApp and Meta services

When a tenant administrator connects WhatsApp, Meta provides the identifiers and authorization needed for KargFlow to discover authorized business numbers, subscribe to delivery updates, submit message templates, and send approved operational notifications. Meta processes information under its own terms and privacy policies.

Sharing and service providers

We share information only as needed to provide the service, comply with law, protect users, or complete an authorized business transaction. Providers may include hosting, database, email, file-storage, monitoring, and communication services such as Render, Resend, and Meta. We do not sell personal information.

Retention and deletion

We retain information while an account is active and as reasonably necessary for freight operations, customer support, security, contractual obligations, financial records, backups, and applicable law. Authorized requests are handled according to our data deletion instructions. Some records may be retained where law or legitimate fraud, accounting, dispute, or security requirements apply.

Security and international processing

We use role-based access, tenant isolation, encrypted transport, audit records, and encrypted storage for WhatsApp authorization credentials. No system is completely secure. Information may be processed in countries other than the one where it was collected, subject to the safeguards required for the service.

Your choices and rights

Depending on your location, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, or object to certain processing. Contact the freight company responsible for your account or contact KargFlow so we can route the request appropriately.
